Uploading and Recording Greetings

You can upload and record custom greetings for any of your tracking numbers by navigating to the number configuration page. Your greeting will be the first thing a caller hears when they dial a tracking number. A greeting can be designated for one number or for multiple numbers using the Call Flow Builder.

Getting Started

Greetings can be uploaded directly from your computer or recorded right inside of CallRail. Multiple greetings can be saved inside of your CallRail account and you can change the greeting on any tracking number at any time. Greetings uploaded to CallRail must be mp3s in order to upload properly.

Upload a Greeting to Your Tracking Number

These instructions will show you how to add a custom greeting to a single tracking number.

  1. Choose the company where you'd like to add a custom greeting.

  2. Click Tracking at the top of the page.

  3. Select Edit for the number where you'd like to add a greeting.

  4. Use the Edit icon to open the Number Options menu.

  5. Check the Play a greeting to the caller box under Call Greeting and then select Play Recording.

  6. Select Choose Recording.

  7. Select Upload Recording.

  8. Select Choose File.

  9. Navigate to and open the mp3 file you'd like to use as your custom greeting.

  10. Click Upload Recording.

  11. Select Save.

Upload a Greeting to Your Call Flow

These instructions will show you how to add a custom greeting to the Call Flow Builder. This is the fastest way to add one greeting to multiple numbers.

  1. Choose the company where you’d like to create a greeting.

  2. Click Tracking at the top of the page.

  3. Select your Call Flows from the list on the left.

  4. Create a new call flow by clicking + Create New Call Flow. You can also click the pencil icon to Edit an existing call flow.

  5. Name your call flow at the top of the page.



  6. Choose your call recording preference. Slide the toggle to ON to record all calls to this call flow. Keep the toggle OFF if you don’t want calls to this flow recorded.

  7. Select Greeting.

  8. Select Play Recording.

  9. Select Choose Recording.

  10. Select Upload Recording.

  11. Select Choose File.

  12. Navigate to and open the mp3 file you'd like to use for your custom greeting.

  13. Click Upload Recording.

  14. Select Save in the top right.

  15. Select Yes, save and activate my changes.

Record Your Own Greeting

These instructions will show you how to record a custom greeting that can be used for one or multiple numbers. Whether using the number configuration page to record a greeting for a single number or the Call Flow Builder to record a greeting for several numbers, follow the steps listed above to find the Choose Recording screen.

  1. Choose the company where you’d like to create a greeting.

  2. Click Tracking at the top of the page.

  3. Select your Call Flows from the list on the left.

  4. Create a new call flow by clicking + Create New Call Flow. You can also click the pencil icon to Edit an existing call flow.
  5. Select the step where you'd like to create a greeting, and click on the tab, Play Recording.
  6. Select Choose Recording, then click Create Recording.

  7. When you are ready to give your greeting, click the Red Record Button and speak clearly into your computer's microphone.

  8. Click the Blue Stop Button when you are finished with your recording.

  9. Click Create Recording when finished.
