Getting Started: A Five-Minute Guide

First time here? In less than five minutes, you'll have everything you need to start tracking phone calls.

In addition to defining a few basic terms, use this article to learn how to:

  1. Create a CallRail account,
  2. Create your first tracking phone number,
  3. Place a test call, and
  4. View your call statistics

Getting Started

CallRail currently offers service to the following countries:

  • United States
  • Canada
  • United Kingdom
  • France
  • Germany
  • Brazil
  • Australia
  • New Zealand

If you would like to create a tracking number in any country we service outside of the United States or Canada, please contact our support team to have international features turned on in your account. 

1. Create an Account

To use CallRail, you'll need an account. If you don't have an account already, here's how to set one up:

  1. Go to https://www.callrail.com/pricing/

  2. Click to start your 14-day free trial, and fill out the form with your information.

  3. We'll automatically log you in so you can get started.

2. Create Your First Tracking Phone Number

The first time you log in, we'll show you a setup wizard to help you create your first tracking phone number. Answer the first set of questions to determine the type of tracking number you'd like to create.

  1. Select a Country and enter a Name and Destination Number for your tracking number.

    • The Country will determine the location of your number and which features are available
    • The Name is how we'll refer to this tracking number in your reports
    • The Destination Number is the phone that will ring when customers dial the tracking phone number that you're creating. This is typically your primary business phone number.

  2. Select your Tracking Source. This is important if you use our dynamic number insertion feature on your website.

    • Example: If you want CallRail to show your tracking number to visitors that arrive on your website from Google AdWords, you'd select "Google AdWords."
    • Example: If you don't plan on using dynamic number insertion, select "Offline."

  3. Select your Tracking Phone Number

    • We'll display a selection of tracking numbers in your area code, as well as toll-free numbers.
    • If you'd like a tracking number in a different area code, click Change Area Code.

  4. Configure Whisper Message & Call Recording

    • Whisper Message: A "Whisper Message" is a short message that plays before the call is connected. The caller does not hear this message.
    • Call Recording: If you'd like, CallRail can record incoming calls through your tracking number. CallRail also allows you to enable an automated verbal announcement to parties on a call.
    • Select Your Language: Your Whisper Message and Call Recording announcement will be read in the language you select and should be entered in that same language.

  5. Finally, let's Activate Tracking Number. After you activate your tracking number, it will immediately be ready to take calls.

3. Place a Test Call

To confirm that everything works as expected, we recommend placing a test call to the tracking number you just created. To do this, use a phone that is different than your destination phone number (your cell phone, perhaps?).

When you dial the tracking number, the destination phone should start ringing!

4. View Your Call Statistics

Now that you've created a tracking number and placed a call, you can go to https://app.callrail.com/ to see the data we collected on the test call you just placed.
