Managing Contacts

Getting Started

A Contact in Lead Center is someone who's been added to a list of people you’re looking to interact with in Lead Center. Contacts can include people who have reached out to your business (by call, form, or text), and can also include people who haven't interacted with you yet. 

There are two ways you can add a new Contact to your account, depending on how you've interacted with the person you'd like to add to your list:

  1. If this person hasn't contacted you via CallRail before, you'll be able to manually create a new Contact.

  2. If there is an existing interaction with this person, you'll be able to add them as a Contact through the classification panel/interaction in Lead Center.

Manually create a new contact

Use the instructions in this section if you'd like to manually create a new Contact for Lead Center. These instructions will help you add a new Contact to Lead Center if this contact has not reached out to you via CallRail before.  

  1. Click the Account icon in the top left to open the My Account panel, then select Manage Contacts. Then, if you have more than one company in your account, choose the company where you'd like to manually add this contact.

  2. Click the Add Contact button.

  3. Enter the contact information for the person you're adding to your list of Contacts, including any notes you think should be included with their contact information. The notes you enter here will remain separate from the notes you can leave on calls, texts, and form submissions in the timeline view.

  4. When finished, click Submit to save your contact. You'll return to the Contacts page where you can see or search for anyone you've added to your list of Contacts.

Bulk uploading contacts

Use the instructions in this section if you'd like to add multiple people as a Contact. 

Only one CSV can be uploaded at a time, but multiple uploads can process at the same time. Once your upload is complete, we will send you an email notification that links back to the Contacts page.

  1. Click the Account icon in the top left to open the My Account panel, then select Manage Contacts. Then, if you have more than one company in your account, choose the company where you'd like to manually add this contact.

  2. In the upper right-hand corner of the page, click the Import button.

  3. We recommend that you download our CSV template and fill in your Contacts data.

  4. You can drag and drop your file, or click Add file in the window to upload your CSV. When finished, click Import to upload your Contact.

    Note:
    There is a 1000 character limit for bulk uploaded notes.

Adding a contact from Lead Center

Use the instructions in this section if you'd like to add someone as a Contact who has called, texted, or submitted a form to your website via CallRail. 

  1. Open Lead Center to find the person you'd like to add as a Contact. This could be someone who recently reached out to you or someone you're actively speaking to within Lead Center. You can use the search bar at the top of the activity panel in Lead Center to find the person you're looking for if you're looking for someone you're not actively speaking with.

  2. Click the link in the top right-hand corner of the page that says Add Contact.

  3. A new window will appear on your screen where you can enter additional details about your contact. Keep in mind, you won't be able to edit the telephone number they called you on here, as this number is the primary number we'll associate with their contact information. The notes you enter here will remain separate from the notes you can leave on calls, texts, and form submissions in the timeline and classification view.

  4. Click Submit when you've finished entering your contact's information.

Editing Contacts

Similar to how you can add contacts from two different places, you can also edit contacts from the Manage Contact page, or directly within Lead Center.

To edit a contact on the Manage Contacts page:

  1. Click the Account icon in the top left to open the My Account panel, then select Manage Contacts. Then, if you have more than one company in your account, choose the company where you'd like to manually edit this contact.

  2. Search or find the contact whose details you'd like to edit, and click the pencil icon.

  3. Update their contact information accordingly and click Submit to save your changes. Keep in mind, you won't be able to edit the telephone number associated with their contact information once they've been saved as a Contact. We recommend adding any additional contact notes to the notes section here.

To edit a contact in Lead Center:

  1. Open Lead Center to find the person whose contact information you'd like to edit. This could be someone who recently reached out to you or someone you're actively speaking to within Lead Center. You can use the search bar at the top of the activity panel in Lead Center to find the person you're looking for if you're looking for someone you're not actively speaking with.

  2. Click the link in the top right-hand corner of the page that says Add Contact.

  3. A new window will appear on your screen where you can edit your contact. Keep in mind, you won't be able to edit the telephone number they called you on here, as this number is the primary number we'll associate with their contact information. Click Submit to save your changes.

Removing Contacts

Use the instructions in this section if you'd like to remove a Contact from your list. When a Contact is removed from your list, their interaction history will still be available in your reports and in Lead Center.

  1. Click the Account icon in the top left to open the My Account panel, then select Manage Contacts. Then, if you have more than one company in your account, choose the company where you'd like to manually remove this contact.

  2. Search or find the contact whose details you'd like to edit, and click the pencil icon.

  3. Click the button in the upper right-hand corner of the page that says Remove From Contact List.

  4. To confirm this action, click Yes to remove the Contact from your list. 

FAQs

Why don't I don't see the bulk upload option?

The bulk upload option will appear once you have at least a single contact in your account.
