Voice Notes with Auto-Transcription for Post-Call Documentation

We'd like to request a feature that allows users to leave voice notes after ending a call, with those notes automatically transcribed and added to the call record's notes field.

The Problem:

After completing calls with customers, field service professionals often need to document important internal information that couldn't be discussed during the call, such as:

  • Pricing considerations and quote details
  • Scheduling constraints or preferences
  • Job complexity observations
  • Follow-up actions needed
  • References to similar past projects

Currently, the only option is to manually type these notes, which creates several challenges:

  • Safety concerns when the user is driving between job sites
  • Time-consuming to pull over and type on a mobile
  • Creates friction that often results in important details not being documented
  • Information fragmentation when users resort to giving out personal numbers to avoid typing

Proposed Solution:

Add the ability for users to record a brief voice note immediately after ending a call (perhaps triggered by pressing a key like or #). The system would:

  1. Record the voice memo
  2. Automatically transcribe it using existing conversation intelligence technology
  3. Append the transcription to the call record's notes field
  4. Optionally tag it as "Voice Note" to distinguish it from manually typed notes

Benefits:

  • Enables hands-free documentation for users who are mobile/driving
  • Increases data capture and CRM completeness
  • Leverages existing CallRail transcription capabilities
  • Aligns with the broader industry trend toward natural language interfaces and AI-assisted data entry
  • Keeps all customer information within the CallRail system rather than fragmenting across personal devices

Use Case Example:

A home services contractor finishes a call with a potential customer while driving to another job site. Instead of trying to type notes or waiting until later (and potentially forgetting), they could immediately record: "Customer mentioned they had a similar job done by competitor two years ago that failed. Emphasized they want premium materials this time. Budget seems flexible. Schedule around their daughter's graduation in May."
