Mailchimp is a marketing platform that allows you to manage and interact with your customers. When you use CallRail's integration with Mailchimp, we'll send the lead and interaction data from your inbound calls, forms, and texts to Mailchimp so you can automatically send follow-up emails to leads after they submit a form, send feedback surveys after a phone call, and more.
Getting started
To use our integration with Mailchimp, you'll need to have:
- Form Tracking enabled on your account.
- Our JavaScript snippet installed on your website.
- External form tracking or custom form tracking enabled on your account.
Integrating with Mailchimp
CallRail’s integration with Mailchimp is company-dependent on your account. Follow the instructions below for each company you’d like to integrate with Mailchimp.
- Select the Settings icon on the left navigation bar.
- Choose the company you'd like to integrate with Mailchimp.
- Select Integrations at the top of the page.
- Choose Mailchimp from the list of integrations.
- Select Authorize. This will redirect you to Mailchimp's website, where you will be asked to authorize CallRail to send data to your account.
- Choose Allow to authorize CallRail’s access.
- You'll be returned to the integration page, where you'll select which events you want to send to Mailchimp and which subscriber list the leads completing those events will belong to.
- Once you've selected your events and subscriber lists, select Activate.
Configuring Customer Journeys
In Mailchimp, you can configure Customer Journeys, which are automated workflows triggered by events. This includes events tracked by Mailchimp (like email opens or clickthroughs) and events tracked by third parties like CallRail.

Creating a new journey
- Navigate to the Customer Journeys section of Mailchimp and create a new journey.
- Choose API & Integrations and then Event API.
- The event name must match the event we are sending ("Phone_Call", "Text_Message", or "Form_Submission").
- Next, you can build your journey using segments, other journey points, and other actions you'd like to use.
How CallRail sends Data to Mailchimp
For each lead with an email address, we’ll attempt to find a related contact on the appropriate subscriber list.
If we find a match, we’ll add the lead's phone number to their contact details in Mailchimp. If any tags were applied to the interaction, we’ll send those as tags on the contact.
If we don’t find a match, we’ll create a contact and send the person’s name, email, and phone number. If there are any tags applied to the interaction, we’ll send those as tags on the contact. Their status will be “subscribed”.
Important
Please note: if the lead doesn't have an email address in CallRail, we won't be able to send the contact and event data to Mailchimp.
How CallRail sends data to Mailchimp
We’ll send the following details for each event type:
- Phone Call
- Occurred At - Call start time
- Tracking number name
- Qualified - Good lead, not a lead
- First time caller - Yes/no
- Value - Formatted $ value from the call
- Sentiment - Neutral, positive, negative
- Form Submission
- Occurred At - Form submitted time
- Form name
- Qualified - Good lead, not a lead
- Value - Formatted $ value from the call
- Text Message
- Occurred At - Message received time
- Tracking number name
- Qualified - Good lead, not a lead
Viewing your CallRail Data in Mailchimp
The Audience dashboard will display high-level information for all your contacts, including the ones posted by our integration. “Where your contacts came from” will be labeled CallRail for any contacts our integration created.
If you're tagging your interactions with Automation Rules, Keypad Scoring, or call flows, we'll add those tags to the contact. You can also see those tags under the Tags section of the dashboard.
To view all contacts within a specific audience, you can select "all contacts." From there, you can further segment your audience by selecting "New Segment." When you create a new segment, you can use one or more of our events and any other contact properties you wish to use.
If you are on the Mailchimp Premium or Pro plan, you can create segments with unlimited segment conditions and segment by the event data we're sending.
Deactivating your Mailchimp integration
Deactivating a company's Mailchimp integration will prevent CallRail from sending data to your Mailchimp account. We'll keep your integration credentials saved in case you'd like to reactivate your integration in the future.
- Select the Settings icon on the left navigation bar.
- Choose the company where you'd like to deactivate the integration.
- Select Integrations at the top of the page.
- Choose Mailchimp from the list of integrations.
- Select Deactivate Mailchimp on the right side of the page.
