Calendly integration

Our Calendly integration allows your Voice Assist agent to view your connected online calendar. Based on your availability, the agent can then provide meeting times to the caller and book a meeting in real-time. and have Calendly send a notification to the caller.

Before you begin

  • You must have CallRail’s Voice Assist added to your account
  • The Voice Assist agent must be enabled.
  • You must have a paid Calendly account (this grants access to the Calendly scheduling API).

How to integrate with Calendly

  1. Select the Integrations icon on the left navigation bar. 
  2. Select Calendly from the list of integrations.
  3. Choose the company where you’d like to set up this integration.
  4. Select Authorize. You will then be redirected to Calendly’s login screen.
  5. Log in to the Calendly account you want to connect to CallRail. This will be the account CallRail looks at for Calendly event types and availability. Once logged in to Calendly, the integration will be Pending.
  6. Select the specific event types you want Voice Assist to use. At least 1 event type must be selected for the integration to be complete. Only those selected event types will be referenced and presented during scheduling — everything else is hidden.

How the Calendly integration works

During a call in which the Voice Assist agent answers, CallRail will listen for language about booking a meeting. Once detected, the Voice Assist agent will use the connected Calendly account and selected event types to determine potential meeting times. The agent will then present those times to the caller. When the caller decides on a time, CallRail will book that time slot on the connected Calendly account. CallRail will send you a notification that a VA call resulted in an appointment (using our existing email notifications). Any notifications for the caller will need to be configured in your Calendly account.

Frequently Asked Questions

Can CallRail provide details about the event type to the caller (video conferencing details, meeting duration, etc.)?

CallRail will display the event type,  appointment link, and time and date in the CallRail UI

Can Voice Assist reschedule or cancel existing appointments?

No, Voice Assist cannot edit existing Calendly meetings; it can only create new ones. If you need to make any edits to a meeting, you can do so in Calendly.
