Close CRM

Close is a sales CRM commonly used by inside sales teams, and it organizes contacts as people nested inside "Leads," which represent a company or sales opportunity. The Close CRM integration connects your CallRail account to Close, so information about your calls, form submissions, and text messages flows automatically into your sales pipeline.

With this integration turned on, CallRail automatically:

  • Creates a new Lead and Contact in Close when a call, form submission, or text message comes in from someone Close doesn't already know about.
  • Updates the matching Lead in Close with attribution details (like the marketing source, medium, and campaign that brought the caller to you) when the caller already exists as a Contact.
  • Gives your CallRail Voice Assist real-time visibility into a caller's contact details and any active deal in Close as soon as they call, so the conversation can be tailored to that relationship.

This means your sales team doesn't have to manually copy caller information into Close, and marketing attribution data travels with each lead automatically.

Before You Begin

Before connecting the Close CRM integration, make sure you have:

  • A Close account with API access.
  • An API key generated by a Close admin user. The key must belong to a user with the "manage organization" permission in Close. CallRail uses this permission to automatically set up five custom fields in your Close account the first time you connect (see the Data section below). A non-admin key will not work.
  • Access to the Integrations section of your CallRail account.

Setup

To connect Close CRM to your CallRail account:

  1. Log in to your Close account and go to Settings, then Developer, then API Keys.
  2. Generate a new API key using an admin account, and copy the key.
  3. In CallRail, go to the Integrations page and find Close CRM.
  4. Select Connect (or Add Integration, depending on what's shown in your account) and paste in your Close API key.
  5. Save your changes. CallRail will validate the key by checking it against your Close account. If the key is invalid or doesn't belong to an admin user, you'll see an error message telling you what to fix.
  6. Once connected, CallRail automatically creates 5 custom fields in Close to store attribution data (you don't need to create them yourself).
  7. Turn on the ingestion toggle to start sending call, form, and text data to Close.

Data

Sending data to Close (Lead Push)

Whenever a call, form submission, or text message comes in on a tracked number, CallRail checks Close for a matching Contact:

  1. CallRail first searches Close for an existing Contact using the caller's phone number.
  2. If no match is found by phone, CallRail searches by email address instead.
  3. If a match is found, CallRail updates the attribution custom fields on that Contact's Lead. Your caller's existing name, phone number, and email address in Close are never overwritten.
  4. If no match is found, CallRail creates a brand-new Lead in Close, with the caller added as a nested Contact.

This happens automatically and in real time each time a call, form, or text event occurs. It's a one-way flow: CallRail sends data to Close, but does not modify or delete Close data outside of the fields described here.

Voice Assist real-time lookup

If you use Voice Assist, CallRail also looks up caller information in Close in real time as soon as an inbound call arrives:

  • CallRail searches Close for a Contact matching the caller's phone number (falling back to email if no phone match is found).
  • If a match is found, Voice Assist can reference the caller's name, contact details, and company.
  • CallRail also retrieves the caller's active opportunities (deals) in Close, including the deal's status, value, and expected close date, so Voice Assist has context about any existing relationship with your business.

This lookup happens instantly during the call and does not create or change any records in Close by itself.
