Cloze integration

The Cloze integration automatically adds every call and text from your CallRail tracking numbers to Cloze, the relationship CRM used by many real estate agents, mortgage professionals, and other relationship-driven businesses. You no longer have to log calls by hand or guess which ad or listing brought a lead in, because each contact in Cloze shows where the lead came from and what was said.

When a call or text comes in, CallRail:

  • Creates a new contact (Cloze calls these "People") for the caller, or updates their existing contact if they're already in Cloze.
  • Adds marketing details to the contact, such as the lead source, campaign, keywords, and landing page, along with call details like the recording link and an AI-generated call summary.
  • Lets Voice Assist, CallRail's AI receptionist, look up the caller in Cloze while the call is happening, so it can greet returning contacts with context about their history with your business.

Before You Begin

Before you connect Cloze, make sure you have:

  • An active Cloze account. You'll sign in to Cloze and approve the connection during setup.
  • Permission to manage integrations in CallRail.
  • Cloze Gold plan (optional). If you want CallRail's marketing details to show up in their own dedicated fields on each contact, your Cloze account must be on the Gold plan. Custom fields are only available on Cloze Gold, and they must be created by a Cloze administrator before you connect. If you're not on Gold, the integration still works: all marketing details are added to the contact's notes instead.

Create Custom Fields in Cloze (Gold Plan Only, Optional)

Skip this section if your Cloze account isn't on the Gold plan, or if you're fine with marketing details appearing in contact notes.

CallRail can't create custom fields in Cloze for you, so a Cloze administrator needs to add them before you connect. Custom fields are extra fields you add to a contact record to store information Cloze doesn't track by default. You'll need these five fields on People (contacts), named exactly as shown:

  • CallRail - Lead Source
  • CallRail - Lead Medium
  • CallRail - Lead Campaign
  • CallRail - Lead Landing Page
  • CallRail - Call Summary

To create the fields:

  1. Sign in to Cloze as an administrator.
  2. Open your custom field settings.
  3. Create each of the five fields listed above on People.
  4. Save your changes.

Create these fields before you connect CallRail, because CallRail looks for them when you first connect. 

Connect Cloze to CallRail

  1. Sign in to CallRail and go to Integrations.
  2. Search for or scroll to Cloze and select it.
  3. Click Connect.
  4. When Cloze opens, sign in to your Cloze account if you aren't already signed in.
  5. Review the access request and click Allow.
  6. Cloze sends you back to the Cloze settings page in CallRail, where the integration shows as connected. CallRail automatically checks the connection before it starts sending data.
  7. Click Authorize to start sending calls and texts to Cloze.

You can turn this toggle off at any time to pause sending data without disconnecting your Cloze account.

Data

What CallRail Sends to Cloze

Data goes one way: from CallRail to Cloze. CallRail sends information for every inbound call and text on your tracking numbers. It doesn't import anything from Cloze into your CallRail reports, and it only creates or updates the contacts tied to those calls and texts.

How CallRail Matches Callers to Existing Contacts

To avoid creating duplicate contacts, CallRail checks Cloze for an existing contact before adding a new one:

  1. CallRail first searches for the caller's email address, if it's known.
  2. If there's no match, CallRail searches for the caller's phone number.
  3. If a match is found, CallRail updates that contact. If not, CallRail creates a new one.

CallRail never matches contacts by name alone, so two different people with the same name won't be combined. When CallRail updates an existing contact, it doesn't overwrite the name, phone number, or email address already saved in Cloze.

Where Information Appears in Cloze

Fields marked "Gold" are only used if your account is on Cloze Gold and the custom fields exist. Otherwise, that information goes to the contact's notes.

CallRail detects automatically whether your custom fields exist. You don't need to choose a setting.

What Voice Assist Can See

If you use Voice Assist, it can look up a caller in Cloze by phone number (and then by email) while the call is happening. It can see the contact's details, their company, related deals (Cloze calls these "Projects"), recent notes, and upcoming next steps.

Disconnecting

If you disconnect Cloze, CallRail stops sending new calls and texts. Contacts, notes, and custom fields already in Cloze stay in your Cloze account.

Troubleshooting

I don't see Cloze in my Integrations list

The Cloze integration is rolling out gradually, so it may not be available on your account yet. Contact CallRail Support to check availability.

Marketing details are in notes instead of my custom fields

This happens when CallRail can't find the custom fields in Cloze. Check that:

  1. Your Cloze account is on the Gold plan.
  2. All five custom fields exist on People and use the exact names listed in Create Custom Fields in Cloze.
  3. The fields were created before you connected CallRail.

The integration shows a Failed status

CallRail marks the integration as failed after repeated errors sending data to Cloze. Disconnect and reconnect Cloze to refresh the connection. If the problem continues, contact CallRail Support.

Frequently Asked Questions

Is this the same as the Close CRM integration?

No. Cloze and Close are separate CRMs from different companies. This article covers Cloze only.

Do I need the Cloze Gold plan?

No. The integration works on any Cloze plan. Gold is only needed if you want marketing details in dedicated custom fields. Without Gold, the same details are added to the contact's notes.

Are text messages sent to Cloze too?

Yes. Inbound texts to your tracking numbers create or update a contact in Cloze, just like calls.

Will CallRail change my existing Cloze contacts?

CallRail only updates contacts that match an incoming caller by email or phone number. It adds marketing and call details but doesn't overwrite the contact's existing name, phone number, or email.

What happens to my custom fields if I disconnect?

They stay in Cloze. CallRail doesn't delete custom fields or existing contact data when you disconnect.
