Clio Manage integration

Overview

CallRail's Clio Manage integration allows lawyers and law firms to improve their marketing activities and client experience, converting leads faster and managing clients more efficiently. Starting from the very first phone call to their practice, your team has easy access to all communications with prospective clients, including how those leads discovered your firm down to the source and keyword level, and the connection to actual cases that drive billables.

If your firm also uses Voice Assist, the integration now includes agentic scheduling: your Voice Assist agent can book, cancel, and reschedule appointments directly in Clio Manage's calendar during a live call, so no appointment is missed when your team is unavailable.

Before You Begin

Clio Manage vs. Clio Grow: Clio Manage is a separate product from Clio Grow. Clio Manage is meant for existing client management, while Clio Grow is used as a lead intake and CRM tool. CallRail has a separate integration for Clio Grow.

If your law firm uses both Clio Grow and Clio Manage, we recommend connecting only to Clio Grow first. Clio Grow has a native integration to move leads into Clio Manage. Enabling both products with CallRail risks creating duplicate leads.

If both integrations are enabled in CallRail, we will check Clio Manage to see if a client exists before creating one.

The Clio Manage integration is only available in the United States.

For agentic scheduling, Voice Assist must be active on your CallRail account to use the scheduling feature. You must also configure at least one event type in CallRail before Voice Assist can begin booking appointments.

Connecting Clio Manage

  1. Select the Integrations icon on the left navigation bar.
  2. Select Clio Manage from the list of integrations.
  3. Choose the company where you'd like to set up this integration.
  4. From the integration page, select which events to send to Clio Manage. Options include calls, texts, and/or forms.
  5. Select Activate.
  6. You will be prompted to sign in to Clio Manage. Once signed in, select Allow to give CallRail permission to send data to Clio Manage.
  7. Your integration will now show as Active.

Setting Up Agentic Scheduling

Voice Assist can book, cancel, and reschedule appointments in Clio Manage's calendar during live calls. To enable this, configure event types: the appointment categories and time windows your Voice Assist agent will offer to callers.

Configure Event Types

  1. From the Clio Manage integration page in CallRail, navigate to the scheduling section.
  2. Select Add Event Type.
  3. Enter a name for the event type and set its duration.
  4. Set the Bookable Hours: the times of day during which callers can book this appointment type.
  5. Select Save.
  6. Repeat this for each event type you want Voice Assist to support.

Once event types are saved, Voice Assist will automatically check the Clio Manage calendar for open times and book appointments on your behalf when a caller requests one.

What CallRail Sends to Clio Manage

Once the Clio Manage integration is active and you have selected which interactions to send, calls, texts, and/or forms will automatically populate in Clio Manage.

CallRail will search for existing contacts and inbox leads in Clio Manage before sending a lead. If one already exists, we will update the Contact Notes section of both Clio Manage and CallRail.

Customers using CallRail's Premium Intelligence will also have call tags and summaries in their Clio Manage inbox.

Data Sent for Each Lead

For each lead, CallRail attempts to match an existing client record or create a new one using:

  • Name
  • Email
  • Phone number
  • Customer city
  • Customer state
  • Customer country

For each activity record (call, text, or form), CallRail sends:

  • Source
  • Medium
  • Campaign
  • Call summary (if the firm has Premium Intelligence)
  • Answered (yes/no)
  • Recording URL
  • Timeline URL
  • Tags
  • Form data and URL (if applicable)
  • Text content
  • Lead status
  • Referring URL

Calendar Data for Scheduling

When Voice Assist schedules an appointment, CallRail interacts with the Clio Manage calendar to:

  • Check available times based on the event types and bookable hours you configured
  • Create a new calendar entry when the caller confirms an appointment
  • Delete a calendar entry when the caller requests a cancellation

Deactivating Your Clio Manage Integration

From your CallRail homepage:

  1. Select the Integrations icon on the left navigation bar.
  2. Select Clio Manage from the list of integrations.
  3. Choose the company where you'd like to deactivate this integration.
  4. Select Deactivate.

Troubleshooting

Appointment time conflicts after a booking

Voice Assist does not place a hold on calendar slots while it is confirming an appointment with a caller. This means if two callers are booking at the same time, or if a time slot is taken between when Voice Assist checks availability and when it creates the entry, the resulting appointment may conflict with an existing booking.

If this occurs, contact the caller to find an available alternative time and update the appointment directly in Clio Manage.

Frequently Asked Questions

Can I use agentic scheduling if I only have Clio Grow?

No. Scheduling is only available through the Clio Manage integration. Clio Grow does not support calendar scheduling. To use Voice Assist scheduling, you need an active Clio Manage account connected to CallRail.

I have both Clio Grow and Clio Manage connected. Which one handles scheduling?

Scheduling runs through the Clio Manage integration. However, we recommend connecting only to Clio Grow if your firm uses both products, as enabling both can create duplicate leads. Clio Grow has a native integration to move leads into Clio Manage. If scheduling is important to your practice, consider connecting only to Clio Manage and using its native tools to manage lead intake.

Do existing Clio Manage customers need to reconnect the integration to use scheduling?

No. The scheduling feature is being added to the existing Clio Manage integration. If you already have Clio Manage connected, no re-authentication is required. You do need to configure at least one event type in CallRail before Voice Assist can begin booking appointments.

Does Voice Assist need to be enabled for the basic Clio Manage integration to work?

No. You do not need Voice Assist to use the core Clio Manage integration, which sends calls, texts, and form submissions to Clio Manage. Voice Assist is only required for the agentic scheduling feature.
