CallRail's Customer Invoicing feature allows you to directly bill companies for their individual usage in your CallRail account each month.
Getting started
Create custom pricing plans, bill your customers directly for their usage, and keep track of the financial side of your call tracking operations with customer invoicing. Customer Invoicing gives you the ability to manage usage and rates for customers who you are billing both inside and outside of CallRail.
Accessing Customer Invoicing
- Click the Account icon in the top left, then click Account Settings in the My Account panel.
- Choose Customer Invoicing within Companies on the menu to the left.
Creating a standard rate
- Click the Account icon in the top left, then click Account Settings in the My Account panel.
- Choose Customer Invoicing within Companies on the menu to the left.
- Click the Pencil icon in the Standard Rate box.
- Create a Standard Rate that will apply to all companies in your account.
- The Base Charge column shows the amount you are charging to use the CallRail platform each month.
- The Local Numbers column shows the amount you are charging for each local number the company creates outside of the plan's included numbers.
- The Toll-Free Numbers Charge column shows the amount you are charging for each toll-free number the company creates.
- The Local Minutes column shows the amount you are charging per minute for each call made or received by a local tracking number.
- The Toll-Free Minutes Charge column shows the amount you are charging per minute for each call made or received by a toll-free tracking number.
- The Text Messages column shows the amount you are charging for each text message sent or received by a tracking number.
- The Voicemail Transcription column shows the amount you are charging for each voicemail that is automatically transcribed for the company.
-The Transcripts Minutes column shows the amount you are charging for each minute that is transcribed in calls to and from the company's tracking numbers.
- Click Save when you are finished editing your standard rate.
Create custom company rates
Follow these instructions to create custom rates for each company in your account.
- Click the Account icon in the top left, then click Account Settings in the My Account panel.
- Choose Customer Invoicing within Companies on the menu to the left.
- Click the Pencil icon next to a company where you'd like to create a custom rate.
- Select Custom rate beneath the Payment Plan section.
- Edit the Customer Price for each feature in the company's account. Use the first row to compare your customer's price to the rate that you are paying each month.
- Click Save when you have finished creating a custom price.
View the costs associated with your companies
- Click the Account icon in the top left, then click Account Settings in the My Account panel.
- Choose Customer Invoicing within Companies on the menu to the left.
- Select the company whose costs you'd like to review from the All Companies list.
- Select View Invoice for the month you'd like to review.
- Review your full company invoice.
FAQs
Why does my company's account status show as "Unavailable"?
CallRail only checks the payment status of individual companies that are using the Stripe integration. If you're not using the Stripe integration, individual company account statuses are not available.
What will my invoices look like for my companies if my CallRail account is white labeled?
A company's invoice will remain blue, but won't have CallRail's logo on the invoice. CallRail also won't email your company their individual invoices. Instead, they'll be accessible through the last set of instructions outlined in this help article.
