Pipeline CRM is a sales CRM you can use to manage leads and understand your sales pipeline. CallRail integrates with your existing Pipeline CRM account by creating leads and attaching notes about calls and text messages received by your tracking numbers. CallRail will also create a new lead in your Pipeline CRM account if there is no existing lead with the same phone number already in your Pipeline CRM account.
Getting started
To send data to Pipeline CRM from CallRail, you’ll first create two person-custom fields as text fields in your Pipeline CRM account settings using this Pipeline CRM support article. The required fields are:
- CallRail Number.
- CallRail Tracker Name.
These custom fields need to be written exactly as they are shown above. You won't receive any data if the fields don't match.
If you are a white-label agency, you'll need to use your agency's name and "Lead Tracking" instead of "CallRail" for the custom fields. For example, if your agency's name is Last Mile Metrics, your custom field names would be "Last Mile Metrics Lead Tracking Number" and "Last Mile Metrics Lead Tracking Tracker Name."
You’ll also need your API key from your Pipeline CRM account to complete the integration. Any admin can access your Pipeline CRM API key by logging into Pipeline CRM and navigating to Account Settings > Pipeline CRM API.
Integrating with Pipeline CRM
CallRail’s integration with Pipeline CRM is company-dependent in your account. Follow the instructions below for each company you’d like to integrate with Pipeline CRM.
- Select the Integrations icon on the left navigation bar.
- Select Pipeline CRM from the list of integrations.
- Choose the company where you’d like to set up this integration.
- Enter your API key from your Pipeline CRM account. You can find your API key in the Admin section of your Pipeline CRM account.
Note: Admins can enable API access and retrieve user API keys on the Pipeline API page of account settings.
- Select Save to activate your integration.
Viewing your CallRail data in Pipeline CRM
We’ll attempt to match existing leads in your connected account by phone number. If we don't find a matching lead, we'll create one with the following data:
- Name.
- Phone Number.
- Work City.
- Work State.
- Tracking Number (custom field from setup).
- Tracking Number Name (custom field from setup).
We'll also create a note and add it to the lead we found or created.
- If the lead is from a phone call, the note category will be "Phone Call". The note contents will include the start time and duration of the call.
- If the lead is from a text message, the note category will be "SMS". The note contents will include the time of the text message and the message contents.
Deactivating Pipeline CRM integration
Deactivating a company's Pipeline CRM integration will prevent your call data from reporting to your Pipeline CRM account. We'll keep your integration credentials saved in case you'd like to reactivate your integration in the future.
- Select the Integrations icon on the left navigation bar.
- Select Pipeline CRM from the list of integrations.
- Choose the company where you’d like to set up this integration.
- Select Deactivate Integration on the right side of the page.
