Managing Contacts

A Contact in CallRail is someone who has reached out to your business (by call, form submission, or text), and can also include people who haven't interacted with you yet. 

Getting started

There are two ways you can add a new Contact to your account, depending on how you've interacted with the person you'd like to add to your list:

  1. If this person hasn't contacted you via CallRail before, you'll be able to manually create a new Contact.
  2. If there is an existing interaction with this person, you'll be able to add them as a Contact through the classification panel/interaction in CallRail's Messaging application

Manually create a new contact

These instructions will help you manually add a new Contact if this contact has not reached out to you via CallRail before.  

  1. Select the Settings icon on the left navigation bar. 
  2. Choose the company where you'd like to manually add this contact.
  3. Choose Contacts from the Lead Management header on the left.
  4. Select Add Contact.
  5. Enter the contact information for the person you're adding to your list of Contacts, including any notes you think should be included with their contact information. The notes you enter here will remain separate from the notes you can leave on calls, texts, and form submissions in the timeline view.

  6. When you're finished, select Submit to save your contact. You'll return to the Contacts page where you can see or search for anyone you've added to your list of Contacts.

Adding a Contact in CallRail Messaging

From the CallRail Messaging inbox, select a conversation. On the right side of the screen, a new panel will appear, populated with any existing information, including:

  • name
  • phone number
  • email address
  • city/state
  • applicable lead qualification
  • a link to view the customer timeline.

If this is a new contact, this information (besides phone number) will be empty. 

Select the three-dot icon next to the contact's name and choose Add Contact.

In the pop-up, enter any information you want to include, then select Save.

The new contact will be visible in the main contacts page, as well as any time you select the conversation in CallRail Messaging

Editing Contacts

You can edit Contacts from the Manage Contact page, or you can edit Contacts in CallRail Messaging.

Editing a Contact on the Contacts page:

  1. Select the Settings icon on the left navigation bar. 
  2. Choose the company where you'd like to edit this contact.
  3. Choose Contacts from the Lead Management header on the left.
  4. Choose the contact whose details you'd like to edit, and select the pencil icon.
  5. Update their contact information accordingly and select Submit to save your changes. Keep in mind, you won't be able to edit the telephone number associated with their contact information once they've been saved as a Contact. We recommend adding any additional contact notes to the notes section here.

To edit a contact in CallRail Messaging, select the contact's conversation and then select the three-dot menu on the right side, next to the contact's name. The edit contact option will be visible.

Removing Contacts

Follow the instructions below to remove a Contact from your list. When a Contact is removed from your list, their interaction history will still be available in your reports.

  1. Select the Settings icon on the left navigation bar.
  2. Choose the company where you'd like to remove a contact.
  3. Choose Contacts from the Lead Management header on the left.
  4. Choose the contact you want to remove and select the pencil icon.
  5. Select the button in the upper right-hand corner of the page that says Remove From Contact List.

  6. To confirm this action, select Yes to remove the Contact from your list.
