Scheduled reports

CallRail's scheduled reports feature allows you to send your most used custom reports directly to your email on a regular basis. These emails can be sent on a daily, weekly, and monthly basis. From your email, you will be able to download your custom report as an Excel .xls file.

Scheduled report frequencies

Scheduled report emails are sent out at the following days and times:

  1. Daily scheduled report emails are sent every day around 8:00 AM of the selected company's time zone.
  2. Weekly scheduled report emails are sent every Monday around 1:00 PM of the selected company's time zone.
  3. Monthly scheduled report emails are sent on the first of each month around 1:00 PM of the selected company's time zone.

Creating a scheduled report

  1. Click the Account icon in the top left to open the My Account panel, then click Notifications.

  2. Select Scheduled Reports from the Reports section in the left menu.

  3. Select the Schedule a Report button at the top of the page.

  4. Choose the Custom Report that you would like to have emailed from the dropdown list.

  5. Select the Delivery button to move to the next step.

  6. You can choose up to three frequencies to receive your Scheduled Report.

  7. Select Save to finish creating your Scheduled Report notification.

Note: The date range of the report's data is tied to the email frequency. For example, a daily Scheduled Report will only contain data from the previous day.

Deleting a scheduled report

Admins can delete any Scheduled Report that exists in the account. Manager and Reporting users can delete only their own Scheduled Reports.

  1. Click the Account icon in the top left to open the My Account panel, then click Notifications.

  2. Select Scheduled Reports from the Reports section in the left menu.

  3. Find the Scheduled Report that you wish to delete and select the trash can icon to the right.

  4. Confirm that you want to delete this specific Scheduled Report.

Note: If the Custom Report associated with a Scheduled Report is deleted, the Scheduled Report email will not send anymore. Users will be able to download exports from previously sent emails for up to 30 days after the email was sent.

Email Details

  1. The frequency of the export (daily, weekly, or monthly) is displayed within the download button text.
  2. You are able to see which Custom Report you are downloading in the line below the download button.
  3. You are able to unsubscribe from this email via an unsubscribe link in the footer. Doing so will remove the subscription from the Scheduled Reports page.

FAQs

Do I have to use a Custom Report?
Yes, this feature only works with your own saved Custom Reports.

Who can receive Scheduled Reports emails?
Any CallRail user (Admin, Manager, and Reporting users) can create and manage their own Scheduled Reports. All CallRail users have access to Custom Reports as well.

Can I create Scheduled Reports for people outside of CallRail?
At this time, only CallRail users can receive Scheduled Reports via email.
