Email notifications

Create email notifications for incoming calls and text messages to your tracking numbers. You can customize your notifications to receive alerts about specific interactions with calls, like missed calls, voicemails, first-time callers, or calls matching a specific tag. 

If you'd like to create live desktop notifications, you can use the directions in this article.

User permissions for notifications

You can create or update notifications for your personal login at any time. If you need to manage another user's notifications, you'll need to be an administrator or a manager. Here are the user permissions for notification emails:

  • Administrators can create or edit notification emails for themselves and any other user on their account.
  • Managers can create or edit notification emails for themselves and any users in companies they're assigned to.
  • Reporting users can only create or edit their own notification emails.

Create a call or text notification

Use these instructions if you’d like to create a notification for yourself or another user on your account. 

  1. Click the Account icon in the top left to open the My Account panel, then click Notifications.

  2. Select Calls & Texts from the Notifications section in the left menu.

  3. Click Create Notification.

  4. Choose the company we should include in your notification, the user who should receive this notification, and whether you'd like to be notified of inbound calls and/or text messages. If you've chosen a specific company, you'll also have the option to choose a specific tracking number.

    If you're a manager or an administrator, you can create email-only users for specific companies in your account. After selecting a company for your notification, choose the New Email Recipient option in the "Which user should receive this notification?" drop-down and enter an email address.

    Only administrators and managers on your account will be able to choose a different user than themselves on this step. Reporting users can only create notifications for their own login. Click Customize when you're ready to move to the next step.

    If you need to send an email notification to someone who isn't a user in your CallRail account, click New Email Recipient at the top of the user drop-down, and enter that person's email address. They won't have login access to your account, but they'll still receive the notification you set up here. This option is only available when setting up notifications for a specific company, and not all companies.

  5. Add filters to your notification emails to get details about specific types of calls you receive. You can also set an optional filter to only receive notifications for customers who have a certain Qualified Status. This step only applies to call notifications. Click Delivery when you're ready to move on to the final step.

    Please note: If you selected a specific company you'll see an additional option to Filter by Tag. If you selected All companies, this option will not be available.

  6. Select the type of notification you'd like to receive and click Save when finished.

Editing a call or text notification

You can edit an existing call or text notification you're receiving at any time. Only administrators and Managers can edit notifications for other users. Reporting users can edit their own notifications.

  1. Click the Account icon in the top left to open the My Account panel, then click Notifications.

  2. Select Calls & Texts from the Notifications section in the left menu.

  3. Find the notification you'd like to update, and click the corresponding Edit (pencil) icon.

  4. Make your changes and click Update when finished.
