Overview
The Workiz integration connects your CallRail account to Workiz, a field service management platform used by home services businesses such as plumbing, HVAC, and electrical companies. When a call, text, or form submission comes in through a CallRail tracker, the integration automatically creates or updates a lead record in Workiz, so your team can follow up without manually entering contact information.
Before You Begin
To use this integration, you will need:
- An active CallRail account (available on any plan)
- An active Workiz account
- A Workiz API key. You can find your API key in your Workiz account settings.
Connect Workiz to CallRail
Follow these steps to connect your Workiz account to CallRail:
- In CallRail, navigate to Settings.
- Select Integrations.
- Find Workiz in the list of available integrations and click Connect.
- Enter your Workiz API key in the field provided.
- CallRail will verify your credentials before activating the integration. If verification fails, confirm that your API key is correct and that your Workiz account is active.
- Select the Company you want to link to Workiz.
- Click Save. The integration is now active.
To disconnect the integration at any time, return to Settings > Integrations and deactivate Workiz. CallRail will stop sending data to Workiz. Existing lead records already in Workiz will not be affected.
What Data Gets Synced
When a call, text, or form submission is received through a linked tracker, CallRail sends the caller's information to Workiz and creates or updates a lead record. The following fields are synced:
| CallRail Field | Workiz Field |
| Caller first name | FirstName |
| Caller last name | LastName |
| Phone number | Phone |
| Email address | |
| Company name | Company |
| First-touch attribution source | JobSource |
| Attribution details and call summary | LeadNotes |
Because Workiz does not support adding custom fields through its API, CallRail compiles your marketing attribution data (including source, medium, campaign, and landing page) and the call summary into the LeadNotes field as a structured text note. You can view this note on the lead record in Workiz.
If a lead with a matching phone number or email already exists in Workiz, CallRail updates that record instead of creating a new one.
Data flows in one direction: from CallRail to Workiz. No data is sent back to CallRail from Workiz.
Frequently Asked Questions
Does this integration support Voice Assist (real-time caller lookup)?
No. The Workiz integration creates and updates lead records only. It does not currently support Voice Assist.
Can I add custom fields to the lead record in Workiz?
Custom fields cannot be populated through the Workiz API. Instead, CallRail writes your attribution data and call summary into the LeadNotes field on the lead record as a text note.
What happens to my existing Workiz leads if I disconnect the integration?
Disconnecting the integration stops CallRail from sending new data to Workiz. Existing lead records already in Workiz are not changed or deleted.
What if a caller is already a lead in Workiz?
CallRail checks for a matching phone number first, then email address. If a match is found, CallRail updates the existing lead record instead of creating a duplicate.
