Overview
The GoHighLevel integration automatically sends your call, form, and text message leads into GoHighLevel, so you never have to copy contact details over by hand. When someone calls, fills out a form, or texts one of your tracked numbers, CallRail checks GoHighLevel for a matching contact and either updates that contact's record or creates a new one, and tags it so you can see at a glance where the lead came from. If you use Voice Assist, CallRail can also look up a caller's existing GoHighLevel contact information in real time, so your AI agent recognizes returning leads instead of treating every caller as brand new.
Before You Begin
- You need an active Call Tracking plan with CallRail. Tracked calls, form submissions, and text messages are what trigger this integration.
- You need an existing GoHighLevel account (GoHighLevel calls this a "sub-account" or "location").
- You must be able to approve new app connections inside GoHighLevel, since connecting the integration requires you to authorize CallRail from within your GoHighLevel account.
Connect GoHighLevel to CallRail
- In CallRail, go to Settings, then select Integrations.
- Find GoHighLevel in the list of available integrations and click Connect.
- You'll be taken to GoHighLevel to log in (if you aren't already) and asked to approve CallRail's access to your account. Review the request and approve it to continue.
- If you manage more than one GoHighLevel sub-account, choose the one you want to connect to CallRail.
- You'll be sent back to CallRail, where your connection is verified automatically. Once the integration shows as Connected, you're all set: new calls, form submissions, and texts will start syncing to GoHighLevel automatically.
Data
CallRail sends lead information to GoHighLevel every time a tracked call finishes, a form is submitted, or a text message comes in. This happens automatically and in real time: there's no batch sync to wait for.
CallRail first checks GoHighLevel for a contact that already matches by phone number, and then by email if no phone match is found. If a match exists, CallRail only fills in fields that are currently blank in GoHighLevel: it will never overwrite information you already have on file. The one exception is tags, which CallRail always adds so you can filter and automate on lead source inside GoHighLevel. If no match exists, CallRail creates a brand-new contact.

A few important notes about what this integration does and doesn't do with your data:
- Syncing is one-way, from CallRail to GoHighLevel. Changes you make directly in GoHighLevel don't flow back into CallRail.
- Call recordings, transcripts, and call summaries are not sent to GoHighLevel. See the FAQ below for more on this.
- If you use Voice Assist, it can look up an existing GoHighLevel contact's name, email, phone, address, and assigned owner during a live call to give your AI agent context. This lookup happens in the moment and isn't stored back in GoHighLevel.

Frequently Asked Questions
Does this integration send my call recordings or call summaries to GoHighLevel?
No. This integration only syncs contact details (like name, phone, and email) and tags. Call recordings, transcripts, and call summaries are not sent to GoHighLevel, because GoHighLevel doesn't currently support receiving that type of information from CallRail.
Will this integration overwrite information I already have saved in GoHighLevel?
No. If CallRail finds a matching contact, it only fills in fields that are currently blank, such as an empty email or phone field. Information you've already entered in GoHighLevel is never changed or removed. The one exception is tags: CallRail always adds its tags to a matching contact so you can track lead sources.
Can I use this integration to schedule appointments in GoHighLevel?
No. This integration syncs contact information only. It does not create or manage appointments or calendar events in GoHighLevel.
