CallRail's outbound dialer

In addition to tracking incoming calls, CallRail has a built-in outbound dialer. This allows you to make calls to your leads in real time, all using your existing tracking numbers.

How it works

CallRail's outbound dialer will first call your phone to establish a connection, then dial your contact or lead. The person receiving the call will see their assigned CallRail tracking number, not your actual phone number.

Outbound calls and iPhone call screening

Because the dialer will call your phone first, the connection can trigger Apple's call screening feature (if enabled) on iPhones. If the call screening takes place, it can prevent CallRail from placing the outbound call. To avoid disruption, recommend the following:

  1. Save the tracking number you are using to place the call in your contacts.
  2. Disable call screening on your iPhone. These settings can be found in your Settings app, then select Apps > Phone > Call Blocking & Identification.

Calling from your CallRail account

Outbound calls can be made at any time by selecting the +Create button on the left side of the screen. From here, select New Call

In the pop-up that follows, you simply need to enter the number you want to call, your phone number, and the tracking number you want the call to come from. From here, CallRail will call you first (in order to connect with the tracking number), then make the outbound call.

If you are already viewing a lead’s Call Log, you can place a call from there, as well.

  1. Select a contact’s Timeline.
  2. In the contact’s information box, select Call. If you want 
  3. Enter your phone number into the box, and choose whether or not to record the call by toggling that option on or off.
  4. Select Begin call. You'll then receive a call that prompts you to press 1 to connect to your caller. 
  5. Select 1 at the prompt to call your customer.

The customer will see the CallRail tracking number in the incoming call.

Placing an outbound call from the Mobile App

  1. Tap the + button at the bottom-right of your app.
  2. Enter your device's phone number. 
  3. Enter the customer's phone number at the top of the screen.
  4. Tap on Select a Caller ID to choose the tracking number you would like to dial out from; the customer will see this tracking number instead of your mobile device. 
  5. Confirm your details and indicate whether you'd like to record your outbound call. 
  6. Tap Place Call to dial your customer. You'll then receive a call that prompts you to press 1 to connect to your caller. Select 1 at the prompt to call your customer.

Placing an outbound call from the Messaging page

  1. Select a conversation from your Messaging inbox. The inbound number's contact information will appear on the right side of the conversation window.
  2. Select the contact's phone number. A new window will appear to place the outbound call.
  3. Select the phone number you want to use to make the call. The customer will not see this number; they will see the tracking number they originally called.
    • If you have not previously placed an outbound call, you will need to select Manage numbers and save your phone number.
  4. Because you are returning a call, the company and tracking number the customer contacted previously will be filled in. Confirm these details and choose whether or not you'd like to record your outbound call. We strongly recommend checking your state and local laws to ensure you're able to record outbound calls.
  5. Select Place Call to dial your customer. You'll then receive a call to your selected phone number that prompts you to press 1 to connect to your caller. Select 1 at the prompt to call your customer.
    • You can cancel the call at this point by simply hanging up.
