Recording a greeting

You can record custom greetings for any of your tracking numbers using either the number configuration page or the Call Flow Builder. Your greeting will be the first thing a caller hears when they dial a tracking number. These greetings can be recorded in CallRail, and changed at any time. You can assign a greeting for one number or for multiple numbers.

Record a greeting for a single tracking number

If you want to record a greeting for a single tracking number, you can follow these steps:

  1. Select the Settings icon on the left navigation bar.
  2. Choose the company where you’d like to create a greeting.
  3. Select the Pencil icon for the number where you'd like to add a greeting.
  4. On the following screen, select the Pencil icon at the upper-right of the Number Options menu.
  5. Check the Play a greeting to the caller box under Call Greeting and then select Play Recording.

  6. Select Choose Recording, then Create Recording from the options listed at the top of the menu. 
  7. When you're ready to record, select the red record button and speak clearly into your computer's microphone. Select the blue stop button when you are finished recording.

  8. Select Create Recording when you are finished.
  9. Save after returning to your Number Options screen.

Record a greeting in a call flow

These instructions will show you how to record a custom greeting from the Call Flow Builder.

  1. Select the Settings icon on the left navigation bar.
  2. Choose the company where you’d like to create a greeting.
  3. Select Workflow at the top of the page.
  4. Create a new call flow by clicking Create New Call Flow. You can also select the Pencil icon to edit an existing call flow.
  5. Name your call flow at the top of the page.
  6. Select a call recording option. Slide the toggle to ON to record all calls to this call flow. Otherwise, keep the toggle OFF.
  7. Choose either the Greeting step, Voicemail step, or Menu step from the menu of options.
  8. Select Play Recording from the options at the top of the step.

  9. Select Choose Recording, then Create Recording from the options listed at the top of the menu. 
  10. When you're ready to record, select the red record button and speak clearly into your computer's microphone. Select the blue stop button when you are finished recording.

  11. Select Create Recording when you are finished.
