CallRail will guide you through creating a tracking number for your campaigns. Each time you create a new number, you'll answer a few simple questions about your campaign. Then, you'll pick your tracking number and configure your whisper message and recording preferences. After you've completed these steps, your tracking number will be active and can start taking calls immediately.
Getting started
For instructions on setting up a specific type of tracking number, choose from one of the articles listed in this section.
To create new tracking numbers for countries outside the United States and Canada, a member of our support team will need to update your account first. Read this article to learn more about call tracking in your country.
Once you've created a new tracking number, we recommend placing a test call to that number. When placing test calls, be sure to use a phone that is not your destination phone number, such as your cell phone.
Create a new number
Tracking numbers are company-dependent within your account. Follow these instructions to create a new tracking number for an online or offline campaign.
-
- From the homepage, click Create Number to create a new number, or click the Create (+) icon in the left navigation bar and select Phone Number.
- Choose the company where you'd like to add your new tracking number. If your account only has one company, it will be selected by default.
- Once you select your company, you will be prompted with the question "Where will you display this tracking number?"
- Select On my website to create a number for a web campaign.
- Select Somewhere else to create a number for an offline campaign. - On the next screen, choose where your tracking number will be placed. Your choices will depend on what you chose in step 3:
- If you previously selected On my website, you will begin creating a tracking number.
- If you previously selected Somewhere else, you will select from our list of source trackers and search ads.
- Choose the call tracking phone number you'd like to purchase (local, area code-specific, or toll-free) and name the number in CallRail. Then select Number routing to move forward. Optional: If you previously selected On my website, you will select whether to create a single tracking number or a number pool. Number pools allow you to track calls and web sessions. For more information, please view this article.
- On the next screen, you can enter the telephone number where we should route your calls. The following options are available:
- An existing phone number (i.e., your primary business number.)
- An existing call flow. To learn more about call flows, please view this support article.
- If you're using Lead Center, you'll see an option for Lead Center's softphone you can select instead to route calls to a Lead Center agent or Team.
- You can also choose to record the calls made to this tracking number and whether or not to include a whisper message.
- Please note: Call recording must be enabled in order to take advantage of our Conversation Intelligence features.
- When you're finished, click Activate tracking number.
- From the homepage, click Create Number to create a new number, or click the Create (+) icon in the left navigation bar and select Phone Number.
Once you've completed the number creation process, you can begin placing the number in your website or campaigns. You can also see a list of your active tracking numbers by selecting See active numbers.
International tracking numbers
To purchase a United Kingdom (UK) tracking number, an address will need to be provided for association with the number. This does not have to be a local address; it can be your business's main address. In addition, your business must be registered for Know Your Customer (KYC). If you are not registered for KYC, you will be blocked from creating a new number and prompted to register. More information about KYC can be found here.
To purchase an Australian tracking number, an address will need to be provided for association with the number. This does not have to be a local address, and can be your business's main address.
